Monthly Interface – Bulletin 2

It’s been a while! Where have you been?

We last updated you in July. Since then we haven‘t forgotten you. But we have been busy behind the scenes.

Remind me what is Monthly Interfacing?

What have you been doing in the meantime?

We have been working with our software provider to test and sign off the system.

This has taken longer than we thought it would.

We’ve also been working with a small pilot group of employers to test the system and learn from any problems they encountered. To hopefully make your experience a happier one.

So is it working?

Yes, we have tested the process all the way from end to end. All those annoying gremlins that seem to come with new systems have been removed.

Admittedly it took longer than we thought.

But the October go-live has passed?

Yes, the original plan was to phase employers in, starting in October.

We hope to start a phased roll out in the New Year.

I haven’t been part of the pilot. What do I need to do now?

Two things as a matter of urgency:

1) Please answer this very short questionnaire by 31st December 2018. It will only take 2 minutes of your time. We will use your answers to help develop a plan and a timeline to help you go live.

2) Provide us with an extract of some of your payroll data

Why do you need an extract of my payroll data?

When you submit your first Monthly Interfacing file it will overwrite our data. In the majority of cases that will be fine. But in some instances we might have more up to recent data than you.

It will just give us the opportunity to check and match our data.

If we need to update our records we will. Likewise you may need to update some of your data.

We can then provide you with the uniqueemployee membership number’ for each of your employees. Without this reference putting it simply, Monthly Interfacing just won’t work.

What payroll data do you need?

Please provide the information in the attached spreadsheet for each of your employees who are in the LGPS.

When do you need it?

The earlier the better. But by the end of January 2019 at the latest.

Who’s going to do the data matching? That feels like a lot of work. I don’t have the resources or time for this.

We will do as much of the heavy lifting as possible. And only come back to you when we have to. We aim to minimise the number of queries that we come back to you with.

But it is good practice under GDPR to check the data we (and you) hold is correct.

I’m not in the pilot group. Can I go live now?

We can help you start planning to go live if you have answered YES to the first two questions in the questionnaire.

But we still need to match your common data first.

When will I hear from you again?

If you complete the questionnaire by 31st December 2018 we should be able to provide more tailored updates to you early in the New Year.

We will also send all employers a monthly update now the project is progressing at speed.
